We sell spreadsheets, so discount what follows accordingly — but we will try to be straight, including about where the free online calculators genuinely beat our product. Both tools exist because deal analysis is arithmetic; they differ in what happens around the arithmetic.
Where online calculators win — honestly
Speed for a first look. Open a page, type price and rent, get a cap rate. For a 30-second screen of a listing you just found, nothing beats it — including our spreadsheet. Setting up a workbook to reject a property you can reject in half a minute is wasted effort.
Zero setup, zero cost. No file to download, no software to own, works on any phone. And the good ones are free, because they are marketing for a platform, a course or a lending business. Free and instant is a real advantage, not a trick.
Nothing to break. A web form cannot have a formula overwritten by a stray keystroke. If you only ever run one simple calculation, the guardrails are a feature.
If your analysis genuinely ends at “cap rate on one property, once” — use the free calculator and spend your money on inspections instead.
Where spreadsheets win
Your assumptions stay saved. A calculator forgets you the moment you close the tab. A spreadsheet keeps the deal — every input, every assumption — so you can revisit it when the seller counters, compare it against next month's listing, and show your work to a partner or lender.
Sensitivity is built in, not rebuilt. “What if rent is $100 lower, or I pay $10K more?” In a spreadsheet with a sensitivity grid, that is one glance at a table. In a web calculator, it is re-typing the whole form for every scenario.
The analysis continues into the project. A flip is not a number, it is six months of expenses. A workbook can carry the same deal from screening into a rehab budget, an expense log, contractor quote comparisons and change orders. A calculator's job ends at the verdict; the spreadsheet's job starts there.
Offline and yours. The file works on a plane, in a basement walkthrough with no signal, and in ten years regardless of whether some website still exists. Your formulas are visible and auditable — you can see exactly how every figure is derived, and change the method if you disagree with it.
Privacy. Your deals, your prices and your margins live in your file, not in a form on someone's marketing site.
The honest weaknesses of spreadsheets
- You can break them. Type over a formula cell and the math silently lies. (Our workbooks mitigate this with built-in model checks that flag broken identities, and inputs are confined to marked cells — but the risk class is real.)
- Setup cost. Downloading, opening, learning where things are: minutes, not seconds.
- They cost money — ours are $24 — while basic calculators are free. The free tier of the web is a perfectly rational choice for occasional, simple screens.
Verdict by use case
| Use case | Better tool |
|---|---|
| 30-second screen of a random listing | Online calculator |
| One simple rental, bought with cash | Either — calculator is faster |
| Financed deals where DSCR and cash-on-cash matter | Spreadsheet |
| Comparing several deals over weeks | Spreadsheet |
| Stress-testing rent/price/rehab scenarios | Spreadsheet |
| Running a flip's budget after purchase | Spreadsheet (a calculator can't) |
| Showing your underwriting to a partner/lender | Spreadsheet |
The pattern: calculators answer a question; spreadsheets keep the whole conversation. The more deals you screen and the longer you hold the analysis, the more the balance tips.
Our version of each
If the spreadsheet side fits your work: the free Lite rental analyzer and the free Lite flip analyzer are the full first pass of each tool at no cost — start there and pay nothing until the limits (no sensitivity grid, no projection, no project tracking) actually bind. The Full versions — Real Estate Deal Analyzer and House Flip Analyzer, $24 each or $39 bundled — add the depth the table above describes.
This comparison is published by the seller of the spreadsheets mentioned; judge the arguments, not the source. The tools are calculation aids only and do not constitute financial, investment, tax, or legal advice.
